For Department Heads: SIS update #5

As changes in the SIS will become more visible to students (as they prepare for advance registration for fall classes starting April 5), we're ramping up efforts to assist them through the transition:

Training offered on student registration tasks
Though many students will intuitively find their way through the new process of registering for class, others will seek help from student employees, peer advisors, academic advisors, department secretaries and other staff in offices, in computer labs, in residence halls, and at service desks across campus.

If you have staff who are likely to get questions from students regarding how to register via the new SIS, I would ask that you encourage them to attend a training session.  It is 90 minutes long and will allow those attending to walk through the complete registration process from a student's perspective and learn to grant approvals and remove holds.  Eight sessions are scheduled between March 22 and April 1, and a session will be recorded and made available online for those who cannot attend. The first 60 minutes will be on student registration and the remaining 30 minutes will be only for departmental staff and advisors who also need to know how to grant approvals and remove holds -- so any staff who don't need this training can leave after the first hour.

Online resources for students to be released
Students needing help using the new SIS for advance registration can be referred to MyUniverse > Student Center > Help.  At Help, they will find a tour of the entire Student Center which will also get them to their Advisement Report.  They will also find step-by-step instructions with screen shots that will help them access and use the Advisement Report, and register for classes.  The third piece of help will be an FAQ.  So advise them to log into MyUniverse, click on the tab for Student Center, and then click on Help.

Student communication and support campaign planned
In order to raise awareness of the coming changes in SIS and support students through their first substantial interaction with it -- advance registration for fall term -- we've planned a number of activities.  Advance registration begins April 5 for graduate students and opens for others over the following two weeks.  So you are aware, we will:
-- Introduce the topic and notify all registered students by email of coming changes, March 28
-- Provide a briefing to NISG on coming changes at their weekly meeting, March 30
-- Launch an awareness campaign on the coming changes targeted at students, beginning March 31
    - ads in Northern Iowan
    - printed 1/4 page flyers
    - MyUniverse news
    - links on selected websites (Registrar, SIS, Student Affairs, ITS)
    - others to be determined
-- Provide online tour, tutorial, and FAQ at MyUniverse > Student Center > Help, beginning March 31
-- Offer face-to-face help sessions in Maucker along with awareness raising, April 5, 7, 12 and 14 (10 am to 2 pm)
-- Offer face-to-face help sessions in Gilchrist, April 5 thru 22 (Monday thru Friday, 8 am to 5 pm)
